You can hand one team the venue search, supplier contracts, delegate registration, AV and the on-the-day running of a conference, awards night or away day, and keep your own staff free to host. Maximillion says it has delivered more than 5,000 events for over a quarter of a million guests since it ran its first outdoor team-building sessions in a forest outside Edinburgh in 1989. It works from a head office at Newbridge, on the western edge of Edinburgh, and an office in London, and says it delivers across the UK and overseas.

You get conference management, team building and entertainment from one supplier, so a day that mixes a plenary with an afternoon activity and an evening dinner does not need three contracts. The agency groups its work as follows.
- Event planning. Corporate events, private parties, award ceremonies, product launches, themed events, festive events and virtual or hybrid events. It also says it plans neurodiversity-friendly events.
- Conference planning and production. Live, virtual and hybrid conferences, conference AV and staging, and exhibitions, from sourcing venues and speakers to designing the stage. It says it handles groups from twenty delegates to a thousand.
- Delegate management. Branded registration sites (its case studies name Eventsforce), speaker invitations, delegate communications, event apps built with CrowdComms, and electronic CPD certificates.
- Team building. Indoor, outdoor, evening, virtual and hybrid activities, and GPS treasure hunts on iPads. Its contact page lists more than 90 team-building activities available across the UK.
- Entertainment. Live bands and music, speakers, mingling entertainment, stage acts and stand-up comedy.
Sectors and clients
If you run a medical society meeting or a renewable energy show, you can point to similar events the agency has already run. Its published case studies cover medical and scientific conferences, renewable energy, investment technology, poultry breeding, refrigeration engineering and higher education. Its testimonials page names clients including NatWest, People’s Postcode Lottery, TotalEnergies, TAQA, ORE Catapult, Nucleus Financial and the University of Edinburgh.
Recent work
The case studies show how much of an event you can hand over, and several describe clients who have come back year after year.
- BSGAR Annual Meeting 2026. For the British Society of Gastrointestinal and Abdominal Radiology at the East Midlands Conference Centre in Nottingham, the agency ran registration, speaker invitations, three workshops, parallel sessions, three social events and the full budget with the society’s treasurer. It reports 362 delegates over the three days. It says it has worked with the society since 2021.
- UK Offshore Wind Supply Chain Spotlight 2024. For ORE Catapult and OWGP, the third edition moved from conference venues to an empty exhibition hall at ExCeL London. The agency describes building a 600-seat plenary inside drapes, three branded breakout areas run as silent conferences on headphones, exhibitor packs and an event app, over more than six months of planning.
- Seccl conference and away day. In May 2026 at The Pavilion, Royal Highland Centre in Edinburgh, Seccl had already booked the venue. The agency managed the suppliers, AV for the conference, a stretch tent in place of the quoted marquees, coaches and an afternoon of activities for 220 guests.
- Aviagen UK Flock Awards 2025. The agency shortlisted venues, joined the client on site visits and ran a day of country pursuits, an awards dinner for 65 evening guests and overnight stays at Horwood House in Buckinghamshire. It says it has run these awards for more than 15 years.
Company
You are dealing with a long-established business with a named team. The agency dates its work to 1989; the company registered at Companies House as Maximillion Events Limited (SC111004) was incorporated on 6 May 1988, with its registered office at Newbridge Industrial Estate, Edinburgh. Its own history says it owns a 3,000 sq ft office and 9,000 sq ft warehouse at Newbridge, and its London office is on Wenlock Road, N1. The managing director, Sarah Esslemont, has been with the business for 25 years, the agency says. It has not published a team size or a minimum project value.
What to ask before you appoint them
- Which team members would run your event, and would the account manager who plans it also be on site, as the Seccl and Spotlight case studies describe?
- For a delegate-managed conference, which registration system and event app would you use, and who owns the delegate data afterwards?
- Which AV, staging and activity equipment is owned by the agency and kept at its Newbridge warehouse, and which is hired from subcontractors?
- If you need financial management as BSGAR had, how are supplier payments, sponsor income and the final reconciliation reported to you?
- For an event in England, which work is run from the London office and which from Edinburgh, and are travel costs for the team quoted separately?
- How would the agency put its sustainability approach into practice for your event, for example the digital registration and vegan catering it used at the Spotlight exhibition?
